Kinship/Assistant Program Manager

BASIC FUNCTION

The Kinship/Assistant Program Manager is responsible for growing the Kinship program through recruitment activities and events. This position is also responsible for completing administrative tasks and supporting staff facilitated events using effective program and project management skills.

ESSENTIAL DUTIES AND TIME ON TASK EXPECTATIONS

Project Management 20%

• Communicate with team members and document details and deliverables for FSS events and projects

• Assist in the planning and implementation of events for Kinship and other programs

• Coordinate and manage project tasks and deliverables

• Track and report progress and completion via project plans

• Create/revise event flyers according to TLC’s branding policy

• Track and update programs offered, email lists and wait lists

• Communicate with interested participants for new programming opportunities

Program Management 70%

• Review and approve time cards, purchasing requests and direct support requests

• Complete e-file organization and storage on Share Point, Quick Base and Apricot including formatting documents, scanning, uploading and naming

• Analyze data as required to report program trends and outcomes

• Maintain and track inventory of materials for cafés, workshops, Kinship marketing and services

• Follow up with Kinship and other intakes to get missing information and or e-signatures

• Distribute Kinship and other program brochures and information to community partners

• Collaborate with Quality Assurance to ensure monthly reports are generated and distributed to staff

• Coordinate with Intake Coordinator and FSS staff to send closure letters/no contact letter to referred clients and follow up letters to referring agencies or PCP

• Develop, maintain and expand a database of Kinship community partners, potential clients, active and past clients

• Other duties as assigned

Meetings/Training/Supervision 10%

• Participate in required trainings for Kinship & Family Support Services

• Participate in required meetings for Kinship & Family Support Services

• Participates in supervision and self-evaluation

SUPERVISORY RESPONSIBILITIES

REQUIREMENTS

• Masters’ Degree in Social Work, Psychology, Mental Health, Marriage and Family Therapy (or w/in 1 year of completion), licensure preferred

• 2+ years program/project management experience

• Proficiency with 0365 or Microsoft Office Suite, experience with data bases and CRM software,

• Successfully complete the Kinship Navigator certification course within 90 days
